How do I backup my Mac using Time Machine and Hardware RAID 1


I visit a local Mac shop last week and there was a Mac user brought a MacBook Pro for repair.

I had a little chat with that user and I gave him some advice to back up his data using time machine.

Most of people simple using a single drive to back up the data using time machine and most likely, the drive is connected to airport station, or direct connect to the computer.

Her is the major problem of Time Machine backup on a single drive.

1. A single drive backup is NEVER a backup.

If the drive fail, the cost of date recovery is usually 2 to 3 dollars per GB.  The best scenario, if the controller board is defective, simply get a new drive and swap pout the board.  Other than that, you are out of luck.

I use two back up systems for my computers at home.

I use a Stardom SR2 and set up as RAID 1 to connect my main Mac for photo backup and Final Cup Pro project backup.  Direct connect is always much faster than thru the network.

I also use a Safe Capsule (also from Stardom) direct connect to my Mac and use it as time machine drive.  (the nice thing about time capsule is the built-in auto backup RAID 1 and perfectly fits Airport Extreme.

I then bring the drive to the Air Port Extreme and use it as a NAS backup with Hardware RAID 1.

The beauty of these two unit is each drive can function as single drive and contain 100% of the data.  You can pull out one drive and use it as single drive or put the drive on the shelf and reuse the SR2 and Safe Capsule.

P.S. My MacBook Pro internal drive died and I still can successfully retrieve all my date via Safe Capsule and Time Machine.  It’s priceless.

Third monior for my MacBook Pro


Recently I am working on creating a website, adding video clips and graphics.

My MacBook Pro only supports one monitor via ThunderBolt but I need to add additional monitor to have a better work flow.

I found this little device is very useful and cost nearly half of other solutions.

There is no Mac driver included  but I email their support and they respond my email with a website where I can get the driver.  Here is the copy of the email.

1) Go to http://www.displaylink.com

2) Once the site finishes loading, there are two ways to get to the updated drivers for your adapter:

First, scroll down to the bottom of the page and there will be a section called “Latest Drivers Available”. Click on the operating system your computer supports and you will be taken to the page where you can download the drivers.

The other option is when the DisplayLink site loads, go to the right-hand side of the page and click on the link called “Download Drivers”. By default, the next page will take you to the updated drivers for Windows operating systems. If you are not using our adapters with a Windows based PC, then on that same page, there is a link for using our adapter with Mac computers you can also click on.

3) You will need to click on the check box that says “I agree to the terms of the DisplayLink End User License Agreement (EULA)” before you can download the drivers.

4) The file is an executable for Windows (installer for Mac computers) so once the file finishes downloading, double click on the file to run the installer.

Once the installation completes and your computer reboots, you should be able to use the video adapter.

 

***The only problem I have with 3rd monitor set up is the battery life.

It does drain out battery fast.

 

 

Why Is My Mac Slow? Speed up my Mac.


Today, my Mac became very slow all of a sudden.  It gave me beach ball on every application I opened.

I did some research and found few solutions.

1) Go to Macintosh disk, search for library folder and delete cache foldeer

2) Go to system preference, click on account and remove unnecessary login items.

3) Cleat the P-Ram by restarting Mac and hold Command+Option+P+R

You should experience performance difference, if not do the followings.

4) Repair permission.  Go to disk utility, click on Macintosh Disk and click repair permissions

Question: Do I need to do disk defragment for my Mac?

I got this info from Apple support site but I used up more than 80% of my disk space and I did defragment, it does increase the speed.

About optimization and fragmentation

Disk optimization is a process in which the physical locations of files on a volume are “streamlined.” Files and metadata are re-arranged in order to improve data access times and minimize time moving a hard drive’s head.

Files can become “fragmented” over time as they are changed and saved and as the volume is filled, with different parts of a single file stored in different locations on a volume. The process of collecting file fragments and putting them “back together” is known as optimization. However, if a failure occurs during optimization, such as power loss, files could become damaged and need to be restored from a backup copy.

Do I need to optimize?

You probably won’t need to optimize at all if you use Mac OS X. Here’s why:

  • Hard disk capacity is generally much greater now than a few years ago. With more free space available, the file system doesn’t need to fill up every “nook and cranny.” Mac OS Extended formatting (HFS Plus) avoids reusing space from deleted files as much as possible, to avoid prematurely filling small areas of recently-freed space.
  • Mac OS X 10.2 and later includes delayed allocation for Mac OS X Extended-formatted volumes. This allows a number of small allocations to be combined into a single large allocation in one area of the disk.
  • Fragmentation was often caused by continually appending data to existing files, especially with resource forks. With faster hard drives and better caching, as well as the new application packaging format, many applications simply rewrite the entire file each time. Mac OS X 10.3 Panther can also automatically defragment such slow-growing files. This process is sometimes known as “Hot-File-Adaptive-Clustering.”
  • Aggressive read-ahead and write-behind caching means that minor fragmentation has less effect on perceived system performance.

For these reasons, there is little benefit to defragmenting.

Note:Mac OS X systems use hundreds of thousands of small files, many of which are rarely accessed. Optimizing them can be a major effort for very little practical gain. There is also a chance that one of the files placed in the “hot band” for rapid reads during system startup might be moved during defragmentation, which would decrease performance.

If you think you might need to defragment

Try restarting first. It might help, and it’s easy to do.

If your disks are almost full, and you often modify or create large files (such as editing video, but see the Tip below if you use iMovie and Mac OS X 10.3), there’s a chance the disks could be fragmented. In this case, you might benefit from defragmentation, which can be performed with some third-party disk utilities.

Another option is to back up your important files, erase the hard disk, then reinstall Mac OS X and your backed up files.

Tip: If you use iMovie with Mac OS X 10.3 Panther, and FileVault is enabled, performance issues can occur if your project is located in your encrypted home folder (including the desktop).

Steve Jobs Resigns as Apple CEO


Apple can function “pretty well” even with CEO Steve Jobs on a medical leave of absence, co-founder Steve “Woz” Wozniak said, as reported by “Bloomberg Businessweek” (http://macte.ch/J8n2t).

“Steve Jobs is only on partial leave. Even if he were to be on total leave, we have examined it,” Wozniak, who said he last spoke with Jobs two months back, spoke in Singapore today. “Apple will go on pretty well even if he is not there directly.”

“I love Apple so much and hope to be back as soon as I can,” Jobs said in an e-mail to employees in January. Jobs said he will continue to “be involved in major strategic decisions for the company.”

How can I Stop Duplicate PO numbers in Quickbook


My account ask me how to prevent duplicated PO number in quickbook.

I check into Intuit’s forum and seems no one can give me a good answer other than the following.

Edit menu > Preferences > Items & Inventory > Company Preferences > Check off ” Warn about duplicate purchase order numbers.”
Then change your number before saving

This only solve the problem when issuing a PO to vendor.

My account’s problem is if customer send the PO twice and we will ship twice.

Guys, this is the go around.

When receive a customer PO, use the PO number as the Sales order number.

Since sales order is only for the reference, it does not matter if it is sequential or not.

Quickbook will give you a warning if the Sales order is duplicated.

In the event if two different companies are using the same PO number, my account can still verify it.

I hope this solve Quickbook’s duplicated Purchase Order number problem.

Why is my MacBook Pro so hot?


A lot of MacBook Pro users may experience heat issue with MacBook pro especially for those models without separate  GPU.  I called Apple care and they told me, if it gets real hot, Macbook Pro will shut down itself. Well, do I want to toast my MacBook Pro?  NO! So I spent some time and got myself some hardware and software to solve my problem.

Here is the list of things you can do to reduce the heat.

SOFTWARE:

Use SMC fan control. http://www.eidac.de/

I set up to 3800 rpm which does not generate too much noise but does provide sufficient airflow.

I also use ClicktoFlash http://hoyois.github.com/safariextensions/clicktoplugin/

I discovered if I watch flash based websites or videos, my MacBook Pro temperature will raise up real fast and sometimes jump from 100 degree to 170 within a very short period of time.  ClicktoFlash will only enable flash when you click it.

I also use external fan, I tried laptop external fan from SYBA, startech.com. Please don’t waste your money. These are complete junk and fan died  after 2 to 3 months.

My suggestion is Zefyr not only it is sexy but  also it has a thermal pad the transfers heat from one side to another.  The fan is still running, and the aluminum fin design does bring down the heat.

I also use thermaPAK laptop cooling pad.  This pad is also very useful to reduce the heat especially when I am traveling.

Feel free to leave me a comment if you have any other hardware or software can reduce the heat.
